Step 1 (Month 1)

Understand the development needs of customers and their business models, confirm the eligibility for technology vouchers and plan technology projects
- Understand the customer's business product and service overview, existing technical infrastructure, and evaluate the customer's existing technical environment and areas that need to be upgraded or optimized.
- Verify whether the applicant is a qualified enterprise registered in Hong Kong.
- Confirm the business’s turnover and number of employees to ensure eligibility requirements for the Technology Voucher Scheme are met.
- Evaluate the technology improvements or upgrades the client wishes to make to determine if they are suitable for technology voucher funding.
- According to the different funding projects of the Technology Voucher Program, confirm the type of project that the customer wishes to apply for (for example: software procurement, technical consulting, training, etc.).
- Discuss in depth the specific details of the project with the client, such as project scope, schedule, budget, etc.
- Determine the budget and funding requirements of the project, compare them with the maximum funding amount and funding ratio of the technology voucher, and confirm the portion that needs to be borne by yourself.

After completing the first step, you will have a clearer understanding of the customer's needs and plans to ensure the success rate of technology voucher application and the implementation effect of the project.

Develop application strategy and budget
Develop application strategies and budgets, issue quotation invitations and collect quotations
- Research and determine the most suitable technical solutions based on the specific requirements of the project and the enterprise's business strategy.
- Confirm the funding amount and proportion of the technology voucher, and calculate the portion that the enterprise needs to bear.
-Select a suitable technology provider or consulting agency and send an invitation to them.
-Collect quotes from different suppliers or consulting agencies within a given time period.
-Consider factors such as the credibility, experience, technical capabilities and service quality of the supplier or consulting agency.
-Conduct preliminary negotiations and confirm details with selected suppliers or consulting agencies.
- Collate all quotes and other relevant documents collected as part of the Technology Voucher application.

After completing the second step, the enterprise will obtain a clear application strategy, budget and supplier selection, and be fully prepared for the subsequent technology voucher application process.

Submit applications and assist with application matters
The third step of Hong Kong Technology Voucher application: Submit the application through the government department’s website

Log in to the government department’s Technology Voucher Program website and log in or register a new account.
Fill in all necessary information including business details, project description, budget, etc. Please ensure that all information provided is correct and up to date.
Fill in and upload the required documents and information, ensuring that the file size and format meet the requirements.
After confirming that all information and documents have been filled out and uploaded correctly, press the submit button.
After submitting your application, you will be given a reference number or confirmation code.
Please make sure to keep this number as it may be needed in future communications and inquiries.

After completing the third step, your application has been officially submitted to the government department, and you just need to wait for its feedback and results. During this period, ensure that communication with government departments remains open so that any inquiries or needs can be responded to in a timely manner.

Respond to government questions on applications
Answer government questions about your application

The government may ask you questions about your application or request more details via email, written notice, or phone call.
Collect and organize required answers or additional information in response to government inquiries.
Depending on the government inquiry format, responses may be required by email, formal letter, or other means.
Make sure your answers are clear, concise and complete, and follow the structure and sequence of the query.
The government may review your answers and may require further questions or confirmations.
Ensure that lines of communication with the government are maintained and any follow-up inquiries from it are responded to in a timely manner.

By taking the above steps, you can ensure that any queries from government agencies are answered promptly, correctly and completely, which will help speed up your application process and increase your chances of receiving funding

Sign contract, start project and submit final report
Receive a formal approval letter or email from the government department confirming that your technology voucher application has been approved.
Coordinate with relevant government departments and determine the date and time for contract signing according to the instructions in the notice.
Make sure to arrive at the designated signing location on time on the designated date and time. After all the details are clearly understood, the contract is officially signed.
Ensure good contact and communication with government departments throughout the project execution period.
Organize all relevant documents, information and certificates during the project, such as contracts, invoices, payment vouchers, etc.
Submit the final report to the designated government department or agency in accordance with the provisions of the Technology Voucher Scheme. It may take some time for the government department or agency to review your submitted report to make sure everything meets the requirements.
Based on feedback from government departments or agencies, make revisions to the report or provide additional information if necessary.
The government department or agency confirms that the report has been accepted and the project is officially completed.
