We are a dessert shop located in Sai Kung, and we have been in business for over a decade now. In addition to selling various desserts, cakes, and pastries on a daily basis, we also offer a service where we create custom birthday and seasonal cakes and desserts for our customers. Furthermore, our company conducts baking classes to teach participants baking skills and dessert preparation.

Starting from 2020, our customer traffic gradually increased, and due to the pandemic, the number of takeout cake orders multiplied several times. We began to feel the need for a system to replace the current manual data entry process. We require an effective system to record customer orders and special requests, as well as to maintain records of the company’s daily income and expenses. Currently, our on-site colleagues spend nearly 3 hours after their shifts reconciling the company’s daily accounts, including online and in-store sales. Additionally, we need manual calculations and record-keeping for the daily handwritten order records and tallying the day’s revenue to ensure the accuracy of the company’s financial records. Therefore, we hope to establish the following system to improve company productivity and reduce the chances of human errors.

1. Online Store and Reservation System

The online store will allow customers to place orders online. After placing an order, colleagues in the admin department will immediately receive the order, and they can print the order for the kitchen to prepare the birthday cakes ordered by customers based on the specified dates. Furthermore, with the customers’ birthdates, promotional emails can be sent in advance to customers using their email addresses, increasing the efficiency of repeat orders. The reservation system will allow the academy to register students for baking or dessert courses and record attendance rates and scores for students, making it convenient for colleagues to perform future analysis.

2. Online Customer Relationship Management System

The website will also connect to a customer relationship management system that will record basic customer information, such as gender, birthdate, purchase history, email, or phone number. Through data analysis of customer preferences and buying habits, the company’s operations and sales strategy can be more efficient. The company expects a 20-30% increase in net profit with the help of the new system. The system can distribute sales messages to customers via email or SMS, increasing the rate of repeat orders from existing customers.

3. On-site Restaurant POS System

Staff can instantly place orders, make changes, and modify contents using the on-site restaurant POS system. The POS system can also manage order lists, analyze sales traffic data, control staff and permissions, maintain a menu list and settings, configure printers, and set up promotions, among other functions.
